This guide is for officers of a local group (the individual unit of your organization, such as a chapter or council) who need to look someone up on the group's list. M2 calls that list Members And Others. Many organizations call it the roster. M2 also has a printable report named Roster, which this guide covers near the end.
Before you start
Log in with a role at your local group. If you have more than one role, see Switch Roles and Set Your Default Role.
Open the list
- Click the menu icon (three short lines) at the top left of the screen, then click Home. M2 opens your local group's home screen on the Overview tab.
- Find the box titled Members And Others, followed by your local group's name.
Read the tabs
The row of tabs across the top of the box splits your list into groups. Each tab shows how many people it holds. M2 hides a tab that has nobody on it, so your row may be shorter than another local group's.
The first tab opens when you arrive. Each of the others loads the first time you click it, so you may see a spinning circle for a moment.
Two statuses decide where a person appears. Group Status is the person's standing with your parent group (the organization above your local groups, such as a state or national body). Local Status is their standing in your local group.
| Tab | Who is on it |
|---|---|
| A tab named for a type of membership | People of that type whose group status and local status are both active. Your organization chooses these tabs, their names, and their order. |
| Contacts/Others | People whose group status and local status are both active but whose type has no tab of its own, such as contacts you have added. |
| Inactive | People whose group status or local status is no longer active. |
Read the columns
Which columns you see depends on the tab and on your organization's settings.
| Column | What it shows |
|---|---|
| Name | The person's name. Click it to open their record. |
| Local Status | The person's status in your local group. |
| Dues Category | The person's dues category. A pencil icon beside it means your role can change it. See Assigning / Changing Dues Category. |
| Age | The person's age. |
| YGS | The person's years in good standing. It appears only if your organization tracks them. |
| Dues Owed | What the person owes. |
| Time Since Event | How long ago the person's most recent life cycle event happened. A life cycle event is a recorded change in membership, such as joining or leaving. |
| User | A green check mark means the person has a Groupable account. If your role is an administrator role, you see a different icon there instead. |
| Member Number and Level | Hidden until you turn them on. Level shows the level of the person's membership in your local group, such as primary or secondary. |
The Contacts/Others and Inactive tabs show Type, Group Status, Local Status, and Time Since Event, with no dues columns. Inactive also shows Age. Type is the person's type in your local group.
Find someone in the list
- Click the tab you expect the person to be on.
- Type part of the name in the search box above the table. The table narrows as you type. The box also checks the other columns, so you can search by dues category or member number too, even when Member Number is hidden.
- Click the person's name to open their record.
On the record you can change the person's details and add life cycle events. Member Record Screen describes the page.
The search box checks only the tab you're on. To search your whole list at once, or to find someone outside your local group, use the search box in the top bar. Use the Search Box at the Top of M2 describes it. To find people by city, type city: and the city name in that box, such as city:Denver.
For searches by status, ZIP code, age, events, and other details, click the menu icon in the top right corner of the Members And Others box, then click Find People. If you see two Find People items, click the one with the BETA tag. Finding Members has more on searching.
Check what a person owes
On tabs with a Dues Owed column, click the amount to open the Add Payments screen for that person. If your role can only view records, the amount is plain text instead of a link. If the link takes you to a page saying you don't have permission, your role can't see payments.
The small expand icon beside the amount opens a window that lists the person's dues. To record a payment, see Entering Member Payments.
On tabs without Dues Owed, a money icon at the end of each row opens the same Add Payments screen. It appears only if your role can edit records.
Change what the table shows
To show or hide columns:
- Click the menu icon (three short lines) above the left edge of the table. It is not the menu icon in the corner of the box.
- Click a column name to show or hide it.
The list above the table sets how many people show at once: 10, 20, or all of them. M2 remembers your column choices and your row count on the computer and browser you're using.
Print or save the list
Buttons under each table let you copy the list, save it as an Excel, CSV, or PDF file, or print it. Each button works on the tab you're viewing.
For a printable list with addresses, phone numbers, email addresses, and each person's history, use the Roster report.
-
Click the menu icon in the top right corner of the Members And Others box.
-
Click Roster.
The report lists your active members in alphabetical order. The note at the bottom of the report mentions contacts and recent events, but the report shows only active members. Each entry shows the person's group status, local status, member number, address, phone numbers, email addresses, and a line for each event. You can also open it from the main menu: click Members/Contacts, then click Roster.
The menu in the box also has Contact List, Birthday Report, and Years of Service Report. Local Roster Report describes the Roster report.
If something doesn't look right
- Someone isn't on the tab you expect. Check Inactive and Contacts/Others.
- Someone isn't on any tab. They may not be in your local group. Search for them in the top bar. If they're already in M2 under another local group, or M2 doesn't have them yet, see Add Someone to Your Local Group.
