You can put a flyer or picture right in the body of an email or a news post, so members see it the moment they open the message. It has to be a picture file (JPG or PNG). A PDF does not show in the body. It comes through as an attachment, and many members never open attachments.
Quick answer
| Your file | What members see |
|---|---|
| JPG or PNG | The image, in the body of the email or post |
| A paperclip attachment they have to open |
If your flyer is a PDF, turn it into a JPG first (steps below). It takes about a minute.
An example
A Grand Lodge membership committee wanted every member to see a one-page flyer for an upcoming event. The flyer was a PDF. Sent as is, it would have arrived as an attachment, and the committee chair said members don't open those. The secretary saved the flyer as a JPG, added it to the email, and the flyer showed full size in the body of the email.
Step 1. Turn a PDF flyer into a JPG
Skip this step if your flyer is already a JPG or PNG.
On a Mac (Preview)
- Double-click the PDF. It opens in Preview.
- Click File, then Export.
- Next to Format, choose JPEG.
- Move the Quality slider most of the way to Best.
- Choose where to save it (the Desktop is easy to find), then click Save.
Preview saves the page you are looking at. If the flyer has more than one page, save each page you want to show.
On Windows (Snipping Tool)
Windows has no built-in way to save a PDF as a JPG, so you take a picture of the flyer on your screen.
- Open the PDF. It usually opens in Microsoft Edge.
- Zoom so the whole flyer fits on the screen and is as large as possible.
- Press the Windows key, Shift and S together. The screen dims.
- Drag a box around the flyer, edge to edge.
- A preview appears in the corner of the screen. Click it to open the Snipping Tool.
- Click the Save icon (a floppy disk), name the file, and choose PNG or JPG. Click Save.
Step 2. Put the image in your email
This works in the Mail Room and in the Email Members shortcut on a local's Overview page.
- Start your email as usual: choose the audience, then type the subject and the message.
- Click in the message where you want the flyer to go.
- Click Add attachments below the message and choose your JPG or PNG. The image appears in the message, and members also get it as an attachment they can save or print.
- Or drag the JPG straight from your computer into the message. The image shows front and center in the body of the email, and members also get it as an attachment, the same as with Add attachments.
- Look over the email, then click Send.
Keep each file under 10 MB. See Groupable Email Attachment Size Limits.
Step 3 (another option). Put the image in a news post
- In Connect, open your page and click the News tab.
- Click the plus icon next to Create a Post, then type the Subject and the message.
- Click in the message where you want the flyer to go.
- Click Upload Photos and choose your JPG or PNG. The image appears in the message.
- Choose Visibility and Notify, then click Save.
If Notify is set to send an email, members get the post by email too. See Posts.
Step 4 (another option). Keep the flyer in front of members with a calendar event
A calendar event's photo shows on the Connect overview every time members open Connect, until the event date passes. This keeps a flyer in front of members for weeks, not just on the day an email goes out.
- In Connect, create the calendar event as usual (date, time, location, description).
- Next to Photos, click Upload Photos and choose your JPG or PNG. Or drag the JPG straight from your computer into the description.
- Choose the Visibility and click Save.
- To send it as an invitation, open the event and click Announce. Members get an email and can RSVP.
See Creating / Announcing / Editing / Copying / Cancelling / Deleting a Calendar Event.
Troubleshooting
Q: My flyer came through as an attachment, not in the email. A: It was probably a PDF. Save it as a JPG (Step 1) and add it again.
Q: The image is too big or too small. A: Click the image in the message. A small toolbar appears with size choices. Pick one, or drag the corner of the image.
Q: The file won't upload. A: Check that it is under 10 MB. A screenshot or a JPG export is almost always much smaller than that.
