You may be wondering what happens to all of your Local Group records when a merger occurs. You'll be relieved to know that any future Secretary has access to all historical Local Groups in groupable|m2.
The Secretary can access member payment history, past member Dues Category information, and for the Local Group, all historical Income & Expense information and Budgets.
Member Information:
All Member Data is retained, from Bio Data to Education Records, from Proposer to Contact Information. This type of data belongs to the member record, and not to any one local group.
Some member data is connected to the demised local group, as well as the member record.
Think Offices Held History - after a merger, this data is presented on both the Member Record as well as the Info/Officers > View Officer History Report of the current local group.
Timeline Events are also tied to the local group, and the system carries any individual forward with a "Consolidated Out" and "Consolidated In" event on these records so that no individual is left behind or invisible in the future.
Local Group Information:
Ported Into the Current Active Local Group:
All Local Officer History is retained and stored on the active local Info/Officers "View Officer History Report"
Inactive Members are "carried into" your Current Local Group via "Consolidated Out" and "Consolidated In" events on their timeline. You'll find these individuals under the "Inactive" list.
Candidates and members going through their degrees will be carried in as well. Please "recalculate" their YGS before adding a new event to their timeline.
Viewable in the Demised Local Group:
Secretaries have access to all Demised Local Group data in a read-only format. They can view all Financial data and event history data, but no changes can be made. All historical Income & Expense information and Budgets is retained for any future needs / audit purposes.
User Access:
When a merger occurs, all offices held in a demising local are terminated, and any groupable|m2 user access is removed.
Any surviving local group will have no officer changes.
Please ensure that your new slate of officers is up-to-date and installed in groupable|m2 promptly so that your current officers have access to groupable|m2.
All active members will continue to have access to Groupable|Connect uninterrupted.
