A local group's secretary sometimes enters a member's timeline events after the Annual Member Activity Report (AMAR) for that year has closed. On the Add page, an event dated in a closed year defaults to the local group's current return period (the earliest year still open for that local group), so someone must choose the year. This guide shows parent group staff how to put the event in the right return period (the reporting year) and recalculate the AMAR so the event counts there.
Work in a Group-level role, because the Return Period box on the Add page appears only in that kind of role. To recalculate a closed AMAR, one of your roles needs the Group admin permission. To change Return Period on an event that is already entered, one of your roles needs the Member edit life cycle events permission.
Usually the right return period is the one whose dates include the event's date. An AMAR lists an event as Actual, and counts a gain or loss in Total Gains, Total Losses, and Net Change, only when the event's date falls inside its return period. Otherwise the event shows as an Adjustment and does not count in those totals.
Find the event's return period
- In the search box at the top of any M2 screen, type the member's name or number. Click Search, then open the member's record.
- Scroll to the Timeline card, which loads a moment after the page.
- Click the magnifying glass on the event's row. Its tooltip says Show event.
-
In the Member event details window, read AR Period. That is the event's return period. The forms call it Return Period.
Move an event that is already entered
Some events also drop the member from other local groups, and M2 saves a separate event for each one. Repeat these steps for each, and recalculate each of those local groups' AMARs too.
- In the Timeline card, find the event's row. If a red trash can comes before the pencil, do not click it, because it deletes the event. Click the pencil.
-
In the Edit Event window, open Return Period and choose the right one. Each choice looks like 2025 (01/01/2025 - 12/31/2025) (your group's name). The list does not mark closed periods, so check the dates.
-
Leave the other fields as they are and click Save.
- Click the magnifying glass again and check AR Period. If it is wrong, edit the event again.
Add an event that is missing
Fill in the form from top to bottom, because changing Event clears Date and changing Date resets the Return Period box.
- In the Timeline card, click the green plus. Its tooltip says Add Event.
- On the Add Life Cycle Event page, choose the event in Event.
- If Local Name or Organization appears, choose it.
- In Date, enter the date the event took effect, as mm/dd/yyyy. Then click outside Date. The Return Period box appears.
-
Look at Return Period. Under the box, M2 always shows the hint "Do not back date to a closed return period unless you know what you are doing!" It is expected here.
-
Open Return Period and choose the year the event belongs in. Each choice looks like 2025: 01/01/2025 - 12/31/2025. Periods before the current one end with (Period Closed).
-
Add Notes if you want. Click Add.
Before you recalculate a closed AMAR
Recalculating rebuilds the AMAR from your records as they are today, so other corrections made to the local group's members since it closed also show in the counts. Member records and timelines do not change.
- Fee lines are rebuilt from the return period's fee settings as they are today. A line someone changed with the Edit AMAR Fee Due icon goes back to the calculated amount.
- Total Due is recalculated. Total Paid and Date Paid stay the same, so an AMAR already marked paid can show a Balance other than zero.
- M2 keeps no copy of the old figures, and a bill already printed or exported with Billing Export may not match the new ones. Print the AMAR first if you need them.
- If your organization uses annual local filings, recalculating can also refresh what is saved on the filing, such as member counts and amounts due, even if the filing is closed. Whether it does depends on your organization's filing type.
Recalculate the AMAR
A moved event affects two AMARs, the one it left and the one it joined. Do these steps for each, earlier year first, then the later one even if it is open, so anything the later AMAR carries forward from the earlier one, such as a balance, uses the new figures.
-
From the main menu, click Local Groups, then Annual Member Activity Reports.
-
On the Reporting Periods list, click the return period in the Name column.
- In the AMARs card, click the local group's name or number.
-
On the AMAR page, AMAR Status shows OPEN or CLOSED. Click the refresh icon at the top right of the Annual Member Activity Report card. It has two circular arrows and no tooltip.
-
If the AMAR is closed, M2 asks, "You are about to recalculate a closed AMAR. Are you sure?" Click OK.
- Wait for the page to reload. Do not click again. M2 shows no message when it finishes, and a closed AMAR's AMAR Status stays CLOSED.
Check the result
-
Open the AMAR for the year the event now belongs in. In Event Details, find the member. Type reads Actual.
-
In the Recap card, a gain or loss event shows its count under Actual Counts.
- If you moved the event, open the AMAR for the year it left. The event no longer appears in Event Details.
Troubleshooting
The refresh icon is missing on a closed AMAR
Ask someone with the Group admin permission to recalculate the AMAR. Do not use Open All Reports or Close All Reports on the AMARs card to fix one local group's AMAR, because each acts on every local group in the return period at once.
The event is still missing after I recalculated
Click the magnifying glass on the event and check AR Period. If the AMAR is open, M2 may not have finished its background update, so click its refresh icon. If the AMAR is closed and the period is right, M2 may have stopped the recalculation without a message because it was busy with other updates, so wait a little and recalculate again.
