Dues notices print with the member's address already in place for a window envelope, because groupable|m2 creates the dues notice.
Your other mailings, like a newsletter or a letter, are written in Microsoft Word or another program. To print addresses on those, you download your address list from groupable|m2 and use Word's mail merge feature. Mail merge prints one copy of your mailing for each member, with that member's address on it.
There are three ways to do it. Pick the one that fits your mailing.
| Your mailing | Use |
|---|---|
| You write it in Word | Option 1 |
| It's already printed, or it's a PDF or flyer | Option 2 |
| You'd rather use plain envelopes, no window | Option 3 |
First: download your address list
Options 1 and 2 both start here.
- In groupable|m2, open Members > Labels, Envelopes, Mail Merge, and Export.
- Choose who gets the mailing.
- For the format, pick Mail Merge List.
- Download the file and save it to your computer. It's an Excel file.
New to mail merge?
Microsoft has a step-by-step guide with pictures, for Windows and Mac: Mail merge using an Excel spreadsheet. The steps below follow it.
Option 1: Add the addresses to a mailing you write in Word
You print once, and every copy comes out already addressed.
-
Open your mailing in Word.
-
Click the Mailings tab, then Start Mail Merge > Letters.
-
Click Select Recipients > Use an Existing List. Choose the file you downloaded, then the Address Data sheet.
-
Type your lodge's return address at the top of the page.
-
Click where the member's address should go. This is the spot that will show through the envelope window.
-
Click Insert Merge Field and add these, with spaces and line breaks between them so they look like an address:
FNAME LNAME ADDR1 ADDR2 CITY, STATE ZIP
-
Click Preview Results to see real names and addresses.
-
Print one page on plain paper. Fold it, put it in your envelope, and check that the address shows in the window. If it doesn't, move the address and try again.
-
Click Finish & Merge > Print Documents.
Save your Word file. Next time, change the content, download a fresh address list, and start again at step 3.
Option 2: Add the addresses to pages you've already printed
Your mailing goes through the printer twice: once for the content, once for the addresses.
- Open a new, blank Word document.
- Follow Option 1, steps 2 to 8. Leave the rest of the page blank, so only the two addresses print.
- Put your printed mailing back in the printer tray. To check which way to load it, mark the top of a blank sheet, print one test page, and see where the address lands.
- Click Finish & Merge > Print Documents.
Option 3: Print addresses on plain #10 envelopes
No window envelopes, no Word, no labels. groupable|m2 prints the member's address and your return address right on standard #10 envelopes.
- Open Members > Labels, Envelopes, Mail Merge, and Export.
- Choose who gets the mailing.
- For the format, pick Envelope Number 10, and type your return address.
- Download the PDF and print it at 100% size (not "shrink to fit").
