Use this guide to help someone else with their Groupable account. You can send an invitation, a password reset, or a welcome message, sign in as them to see what they see, or delete an account. It's for officers, secretaries, and admins. Steps that need admin access say so.
Before you start
Most of these steps start on the member's record. Find the member and open their record. For example, click the menu icon at the upper left, then Members/Contacts, then Search. If you see two Search items, click the one without the Legacy tag. Look for the User Account card. It appears on any record you can open in full.
Send an invitation, a password reset, or a welcome message
The User Account card shows only one of three links at a time. If the member has no account yet and can have one, it shows Invite member to create account. If the member has an account and Enabled says No, it shows Resend Welcome Message. If Enabled says Yes, it shows Send Password Reset.
Each one sends a message to the member, so click it only when the member has asked you to. Invite a Member to Create an Account or Reset a Password explains each one and what the member receives.
Sign in as another user
Use Become User to see Groupable the way another person sees it, for troubleshooting or training. You need admin access.
If you need to know when they last used M2, check Last Activity first, on their User Account card or, for an administrative account, in the Last Activity column on the Site Users screen. Your visit counts as theirs and changes it to today.
-
Open the member's record and find the User Account card.
-
Click Become User.
Groupable switches you to that person, with their roles. A note you add or an email you send while you're signed in as them is saved as theirs. Look around, but don't make changes.
To get back to your own account, click the name at the top right. It now shows that person's name. On a phone it's a person icon. Click Log Out, and log in as yourself.
An administrative account isn't tied to a membership, so it has no member record. For that account, click the menu icon at the upper left, then Admin, then Admin Users. Click the account's username, then click Become User in the Site User card.
Change a username or password for someone else
You need admin access. The Full Name (Last, First) box appears on the edit screen, but Groupable doesn't save a change to it.
For a member's account, click Edit User Account on the User Account card, then click the pencil icon at the top right of the Site User card. You can change Username, Default User Role, and Locale. The password boxes don't appear on a member's account. Use Send Password Reset instead.
If you're an account owner, you also see Account Owner on this screen, for either kind of account. Check it to make that person an account owner too. Groupable won't let you uncheck it for the last account owner.
For an administrative account, do this:
- Click the menu icon at the upper left, then Admin, then Admin Users. The Site Users screen opens.
- Click the account's username.
- Click the pencil icon at the top right of the Site User card.
- Type the new password in Password (Optional) and again in Password Confirmation. It needs at least eight characters.
- Click Save.
Groupable shows "Saved". A new administrative account starts with no email address or phone number, so Send Password Reset has nowhere to send a message. Set the password here instead.
Delete an account
You need admin access. Deleting an account doesn't delete the person's member record. The trash can icon appears only when the account hasn't written any notes or sent any emails. The Stats card on the Site User page shows how many of each it has.
For a member's account, click Edit User Account on the member's User Account card. Then click the trash can icon at the top right of the Site User card and confirm when Groupable asks. The Site Users screen doesn't list member accounts, other than account owners.
For an administrative account or an account owner, do this:
- Click the menu icon at the upper left, then Admin, then Admin Users. The Site Users screen opens.
-
Find the account's row. If it has a trash can icon in the last column, click it.
-
Confirm when Groupable asks whether you're sure. The question ends with "This cannot be undone."
Groupable returns you to the Site Users list and shows "Deleted user account" with the username.
To add an administrative account, click the menu icon at the upper left, then Admin, then Admin Users, and click the green plus icon on the Site Users card.
If something goes wrong
- If a member says nothing arrived, see "The member didn't get the message" in Invite a Member to Create an Account or Reset a Password.
- If the member has an account but Become User and Edit User Account aren't on the card, you don't have admin access.
- If Become User shows "Can not change users because user has no active permissions.", that person has no active role to sign in with and your organization doesn't use Connect. If it does use Connect, you land in Connect as that person instead.
- If Become User shows "Can not change to Groupable support account.", that account is off limits.
- If Become User shows "Must be an account owner to become an account owner.", you need to be an account owner yourself. This applies to organizations with more than one local group.
