This article is for local group secretaries and officers who email members from Groupable|M2. It explains who a send leaves out, why your count may be lower than it used to be, and how to see which members turned off email from your local group.
Who a send leaves out
When you send from the Email Members window, M2 leaves out:
- Members who turned off Allow Email for your local group.
- Members with no email address. After you click Send, M2 offers labels for them.
- Members left out by a box you checked, such as Exclude Members With No Solicitations.
Labels and envelopes work the same way with Allow Postal Mail, and they leave out members with no usable postal address.
Why your count may be lower than before
The old Labels and Emails screens sent to everyone you picked, whatever their choice. The new Email Members window honors each member's choice. If a few members turned off email from your local group, they now stop getting your emails, and your count drops by that many.
A member's choice is kept for each group. M2 checks only the choice for the group you are sending from, so turning off email from a district or a Grand Body does not turn it off for your local group.
See a member's choice
- Open the member's record.
- Find the Contact Preferences card, beside Contact Info.
- Under it, the Connect Preferences table has one line for each group. Look at the Allow Email and Allow Postal Mail switches on your local group's line.
If a member has no Connect Preferences table, nothing is turned off for them.
What to do
Ask the member whether they meant to turn off email from your local group. Members change it themselves in Groupable|Connect. See Choose Which Emails and Mail Connect Sends You.
If you have read-write access, you can turn the switch back on for them. The screen reminds you that you may do this only at the member's request: "Resubscribing a member to a list they have opted out of without their permission is not permitted."
Receipts and legal notices
The Transactional Communication box in the email and labels windows sends to members even if they turned off email or postal mail. The hint under the box says to use it only for "communications that are of a legal or transactional nature, such as receipts, or notifications of membership status", and that abusing it violates the service agreement.
