This guide is for officers who help members get into Groupable. From a member's record you can send three messages: an invitation to create an account, a link to reset a password, and a new copy of the welcome message that turns a new account on. You can send any of them again if the first one doesn't arrive.
Before you start
- The member has asked you to send it. The notice at the bottom of the User Account card has you affirm that.
- The member's record has an email address that isn't marked invalid, or a phone number.
- You can open the member's full record. A shorter version of the record has no User Account card.
- For an invitation, the member has no account yet and can have one. Give a Member Access to M2 and Connect explains what makes a member eligible.
Open the member's record
- From the main menu, click Members/Contacts, then click Search. If you see two Search items, click the one without the Legacy tag.
- Fill in Last Name, First Name, or Member Number, and click Find.
- Click the member's name in the results. The record opens in a new tab.
- Scroll down to the User Account card. It fills in a moment after the rest of the page.
Send an invitation to create an account
Use this when the member has no account.
-
In the User Account card, click Invite member to create account.
-
Groupable reloads the record and shows the message "Invitation Sent".
The member gets an email, a text message, or both, depending on what's on the record. The email comes from support@moriapp.com, and its subject is "Create Your Account on groupable". It shows the member's number and has a Create your Account button. The text says "You have been invited by" and your organization's name, then "to create an account on groupable. Tap to get started:" and a link.
Either link opens the Create Your Account page on your organization's Groupable site, with the member number already filled in. The member picks a username and a password and clicks Create Account. Groupable then sends a welcome message by email, text message, or both, depending on what's on the record, and the account stays off until the member clicks the link in it. Create Your Groupable Account walks the member through these steps and explains the welcome link.
Groupable also sends this invitation on its own when a member is installed in an office that has the invite setting turned on, if the member has no account yet and can have one.
Send a password reset
Use this when the member has an account and needs a new password. The Send Password Reset link appears only when Enabled says Yes.
-
In the User Account card, click Send Password Reset.
-
Groupable reloads the record and shows the message "Password Reset Sent".
The member gets an email, a text message, or both, depending on what's on the record. The email has the subject "groupable Password Recovery". It shows their username and has a Reset your Password button. The text begins "Tap to reset your password:" followed by a link.
The link works for 24 hours. If you send another, only the newest link works. The new password has to be at least 8 characters. Once the member sets a new password, a locked account opens again. If the member forgot their username, it's on the card under Username.
Resend the welcome message
Use this when Enabled says No. The account exists, but the link that turns it on hasn't been clicked yet.
- In the User Account card, click Resend Welcome Message.
- Groupable reloads the record and shows the message "Welcome email sent."
The member gets an email, a text message, or both, depending on what's on the record. The email has the subject "Welcome to groupable". It shows the username and has an Enable your Account button. The text says "Click link to enable your account:" and gives a link. Once the member clicks it, they can log in.
If something goes wrong
The invitation link isn't there
Look at what the card shows instead.
- If it shows a username, the member already has an account. Send a password reset or resend the welcome message.
- If it shows None, the member can't have an account right now. See Give a Member Access to M2 and Connect for what to check.
- If it shows "Member is eligible for an account but does not have a phone or email address to send invitation to.", add an email address or a phone number to the member's record, then open the record again. If an email address on the record is marked invalid and actually works, clear the mark instead, using the steps below.
Clear an email address marked invalid
An email address marked invalid shows in red on the Contact Info card on the member's record. Clear the mark only if the address works.
You need a role that can change contact info. If you don't see a pencil icon next to the address, ask your parent group.
- On the member's record, find the red email address on the Contact Info card.
- Click the pencil icon next to it.
- In the Edit Contact Info window, change Valid to Yes.
- Click Save.
- Open the member's record again and scroll down to the User Account card. The card doesn't refresh itself when you save.
The member didn't get the message
Emails go out in the background, so allow a few minutes. Then ask the member to look in their spam or junk folder.
A line at the top of the record, such as "Password Reset Sent", shows every time, even when Groupable had nowhere to send the message.
Next, check the record. Groupable skips an email address that is marked invalid, so if the record has no phone number and no other email address, nothing goes out. Groupable texts every phone number on the record, not only cell numbers, and doesn't tell you when a text fails.
When a member starts on their own
A member doesn't have to wait for you. The login screen has a Forgot your password? link that sends the same reset message, and a Create your log in account. link that lets a member sign up without an invitation. Reset Your Password When You Can't Log In covers the reset from the member's side.
